Farmhouse Networking (“we,” “us,” or “our”) provides managed IT services to business customers, including healthcare, financial services, education, government contractors, and charities. This Privacy Policy describes how we collect, use, disclose, and protect personal information in connection with our website and our business‑to‑business services.

This Privacy Policy does not change any obligations we have under written contracts with our customers (such as Business Associate Agreements or data processing agreements). In the event of a conflict between this Privacy Policy and a written contract, the contract will control for the relevant services.

Scope

This Privacy Policy applies to:

  • Visitors to our website and online properties.

  • Representatives and employees of our current, prospective, and former business customers, vendors, and partners.

  • Individuals who interact with us for sales, marketing, events, or support on behalf of a business.

We do not offer services to, or knowingly collect personal information from, children under 16 years of age. If we become aware that we have collected information from a child under 16, we will delete it.

We do not intentionally collect or process protected health information (PHI), financial account numbers, payment card numbers, or government identifiers (e.g., Social Security numbers) on our own systems, except where required in limited circumstances for our business customers and handled under applicable contracts.

Information We Collect

  • Identifiers and contact information: Name, business email address, business phone number, company name, job title, and similar identifiers submitted via forms, requests, or communications.

  • Cookie and analytics data: Information from strictly necessary and analytics cookies and similar technologies used through our analytics platform (Matomo) to understand site usage and performance.

  • Support and ticketing data: Information you submit in helpdesk tickets, emails, or support calls, including logs, screenshots, and metadata as needed to provide support.

  • Account and configuration data (B2B services): Information related to managed endpoints, email accounts, backup configurations, security tools, and other managed IT services for our business customers.

  • Marketing and communications data: Preferences for receiving marketing communications and information related to interactions with our newsletters or campaigns.

We do not collect precise geolocation, biometric identifiers, or video/audio surveillance data as part of our own services.

How We Use Personal Information

We use personal information for the following purposes:

  • Providing and supporting services: Delivering managed endpoints, EDR, online backup, M365/Google administration, RMM/PSA services, email filtering, security monitoring, penetration testing, and helpdesk ticketing to our business customers.

  • Security and fraud prevention: Protecting our systems, services, and customers, detecting and responding to security incidents, and monitoring for malicious or suspicious activity.

  • Customer service and communication: Responding to inquiries, requests, and support tickets, and communicating about service updates and important notices.

  • Sales and marketing: Managing business‑to‑business sales leads, sending newsletters and marketing communications about our services where permitted, and analyzing engagement.

  • Analytics and improvement: Understanding website usage, performance, and trends using Matomo analytics, and improving our services and website.

  • Legal, compliance, and enforcement: Complying with applicable laws, regulations, and legal processes, and enforcing our agreements and policies.

We do not “sell” personal information or share it for cross‑context behavioral advertising as those terms are defined in U.S. state privacy laws.

Cookies, Analytics, and Tracking

We use cookies and similar technologies on our website for the following purposes:

  • Strictly necessary cookies: To enable core site functionality and security.

  • Analytics cookies (Matomo): To collect aggregated information about how visitors use our site, such as which pages are visited and how often, so we can improve performance and content.

We do not use advertising or retargeting pixels (such as Facebook, Google Ads, or LinkedIn) and we do not use heatmapping or session‑recording tools.

    • Remote monitoring and management (RMM) and professional services automation (PSA) platforms.

    • Email filtering, security, and EDR providers.

    • Accounting, invoicing, CRM, and ticketing systems.

    • Email marketing and newsletter platforms.

  • Resold or white‑label SaaS providers: Solutions we resell or manage on behalf of our customers, where we may have administrative or support access to end‑user data as part of providing managed services, in accordance with our contracts.

  • Professional advisors: Lawyers, auditors, and other professional advisors as necessary for legitimate business purposes.

  • Authorities and legal disclosures: Government authorities, regulators, and other third parties when required to comply with law, regulation, legal process, or to protect our rights, property, or safety or that of others.

  • Business transfers: In connection with an actual or prospective merger, acquisition, asset sale, financing, reorganization, or similar transaction involving our business.

We do not sell personal information and we do not share it for cross‑context behavioral advertising.

International Data Transfers

Our services and many of our vendors are based in the United States. Some of our service providers may process or store personal information in other countries with different data protection laws than the laws in your country or state.

When we transfer personal information across borders through our vendors, we take appropriate measures designed to protect the information in accordance with this Privacy Policy and applicable law, such as contractual safeguards and technical and organizational controls.

Data Retention

We retain personal information for as long as reasonably necessary to fulfil the purposes described in this Privacy Policy, including to provide services, comply with legal obligations, resolve disputes, and enforce our agreements, and then delete or de‑identify it in accordance with our policies.

In general, and subject to applicable law and contractual obligations:

  • Website form submissions: Typically retained up to seven (7) years, or as long as needed for the related business relationship and record‑keeping.

  • Sales and marketing records: Retained for the duration of the business relationship and a reasonable period thereafter, or until you unsubscribe or object, plus any additional period required by law.

  • Helpdesk and support tickets: Retained for the duration of the customer relationship and for a reasonable period thereafter (often several years) for troubleshooting, audit, and legal purposes.

  • System, security, and RMM logs: Retained for security, operational, and audit purposes for a period consistent with our security and compliance requirements.

  • Backups containing customer data: Maintained on rolling schedules and retention periods defined in our backup policies and/or in our contracts with customers.

Where law or contract requires longer retention, or where we need information for legal claims or audits, we may retain data for a longer period.

Your Privacy Rights and Choices

Depending on your state of residence and the laws that apply, you may have certain rights regarding your personal information, which may include:

  • Right to know/access: To request information about the categories and specific pieces of personal information we have collected about you.

  • Right to correction: To request that we correct inaccurate personal information we hold about you.

  • Right to deletion: To request that we delete personal information we hold about you, subject to legal and contractual exceptions.

  • Right to data portability: To request a copy of certain personal information in a portable format.

  • Right to opt‑out: To opt‑out of certain processing, such as “sale” or “sharing” of personal information or targeted advertising, where those activities occur and where the law grants such a right.

We already support correction, deletion, and data export processes and will implement and maintain a reasonable process to respond to access/know and applicable opt‑out requests in alignment with U.S. state privacy requirements.

When you make a request, we may need to verify your identity and the scope of your request. Where required by law, we will respond within the applicable statutory time period; otherwise, we will respond within a reasonable time.

Do Not Track and Universal Opt‑Out

Some browsers offer “Do Not Track” (DNT) signals. At this time, we do not respond to DNT signals. However, we do recognize and honor browser‑based Global Privacy Control (GPC) and similar universal opt‑out signals where required by applicable law, and will treat such signals as an opt‑out of certain processing (such as specific tracking or uses) to the extent required.

We implement administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, disclosure, alteration, and destruction. These measures include:

No security measures are perfect, and we cannot guarantee absolute security. However, we continuously work to maintain and improve our security controls.

For higher‑risk processing activities, particularly in connection with sensitive environments or customers (such as healthcare or financial institutions), we may conduct appropriate risk assessments or similar reviews to evaluate and mitigate privacy and security risks. These assessments are conducted at our discretion and in accordance with our internal policies and contractual obligations.

Third‑Party Websites and Services

Our website may contain links to third‑party websites, services, or applications that are not operated by us. This Privacy Policy does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third‑party sites or services you visit.
